The wrong translator does real damage. We built a better matching system.

smart-translator started in Massapequa in 2016 out of a specific frustration: translation agencies routinely sending work to the most available person in the right language pair, with no regard for professional context. A patent goes to a literature graduate. A pharmaceutical protocol goes to someone whose only science was high school chemistry. The result is text that is grammatically correct and professionally useless.

We built a different model. Every project is matched to a translator whose working background overlaps with the content. Patent filings go to translators with engineering credentials. Legal contracts go to people who have worked in law firms or legal departments. Medical documents go to translators with clinical training. Our certified translations follow the requirements of 8 CFR 103.2(b)(3): signed translator declaration, full translator contact details, certification date, and a statement confirming competence in both languages and the completeness of the translation. We maintain a consistent record of acceptance from USCIS, EOIR immigration courts, and US consulates.
We match based on professional background, not just language pair. A legal contract goes to a translator who has worked in a legal environment. A clinical trial protocol goes to someone with a pharmaceutical or medical background. This is a hard rule, not a guideline we apply when convenient.
Always. Every translator at smart-translator translates exclusively into their native language. This is the only way to guarantee natural, fluent output. A Spanish-to-English translation is produced by a native English speaker with advanced Spanish comprehension.
We accept Word, Excel, PowerPoint, PDF (text-based and scanned), plain text, and most CMS export formats. We return files in the same format as received. For scanned PDFs we conduct OCR before translation and flag any areas where scan quality may affect precision.
